Position Summary:

Florida Atlantic University is seeking an Operations Assistant, Office of Executive Education - Boca Raton, FL.

The Operations Assistant position requires a service minded, well-organized, detail-oriented person with strong interpersonal and written/verbal communication skills and a good multi-tasker. The position requires an outgoing individual who enjoys providing high level of service and assisting other people. This individual should know how to prioritize job tasks, works well under deadlines/pressure, does not mind working in a fast-paced environment, and is a team player with a flexible schedule. Teamwork is important in this position to build collaborative relationships with colleagues and customers representing diverse cultures, races, ages, genders, religions, lifestyles, and viewpoints.

The position will assist in the planning, coordination, and execution of projects, events with co-workers, various University departments, and community partners.

The Operations Assistant position is involved in the day-to-day functions and use of the facility by students/faculty in the Boca Schmidt Family Complex and Office Depot building. This position periodically conducts observation rounds throughout the Boca campus to make sure all spaces, entrance/exits, office, and room doors are secure and clean. Additionally, the Operations Assistant position will assist with event programming and management of the Executive Education programs on the Boca campus, such as orientation, graduation, evening class events, and other similar entities.

Summary of Responsibilities:

Responsible for setting up refreshments and catering on evenings and weekends for students and faculty

Event set-up and breakdown

Assist with the operations of the Executive Education facilities.

Assist with students and faculty during weekend and weeknight courses offered in the Executive Education department

Manage incoming deliveries

Troubleshoot any facility issues and communicate concerns to the appropriate authority

Communicate unresolved concerns in accordance to the proper chain of command

General to intermediate facility and reception area support, to include:

  • Reception area management

  • Greeting students, faculty and staff and directing to the appropriate space in the facility

  • Routine checks of space (study rooms, computer lab, restrooms, and common areas)

  • Distribution of approved flyers and brochures to university buildings

  • Changing signage to reflect upcoming programs/events

Other duties as assigned

Minimum Qualifications:

High school diploma or higher from an accredited institution.

Salary:

$684 - $767 per week.

Monday - Thursday from 2pm - 10pm. Occasional Fridays, Saturdays and/or Sundays.

Temporary positions are not established positions and are paid from OPS funds. Temporary positions are usually not eligible for benefits and retirement; however, they may be eligible for health insurance coverage depending on the average hours worked per week. They provide full-time or part-time employment in an exempt or non-exempt employment situation based on job duties and salary in accordance with the Fair Labor Standards Act (FLSA). Temporary positions do not have layoff rights and may be terminated without prior notice.
